Job Title: Client and Operations Coordinator
Purpose of the Job: To assist in a variety of tasks to ensure the smooth delivery of excellent client service and daily operations of the business
About de Lisle Financial Planning
We are a small Financial Planning company based at Far Peak Business Park near Northleach. Our clients are typically families involving professionals or small business owners either in or approaching retirement, who have achieved a degree of financial success. It’s our job to reduce the stress involved with money, make their lives easier, provide clarity, peace of mind, and ultimately help them make better decisions, whether that’s financial or otherwise.
Based in the Cotswolds countryside, with its beautiful rolling hills the site provides access to 25 acres of green space, a gym, padel courts, climbing walls, physiotherapist, chiropractor, and even sauna/ice bath facilities (for those Wim Hof enthusiasts!)
Key Responsibilities & Accountabilities
Client servicing
Provide a friendly yet professional point of contact for clients, providers, and suppliers (by phone, email and in person)
Organise existing and prospective client meetings and actively manage the Financial Planners diary and workload
Prepare client documentation in advance of client meetings
Manage client service needs and client expectations to ensure client satisfaction
Ensure relevant service components (as per the client agreement) are delivered throughout the year in a timely manner
Maintain SharePoint, the back office system and client files to the required compliance standards
Filter Financial Planner's general information, queries and invitations
 
Operations
Provide support with operational projects on an ad hoc basis
Assist the team with the management of daily operational activities
Help maintain back office documents and processes
Manage the website and other marketing/ client communication tasks
Help plan and organise events, team days and charity events
Help integrate and innovate technology in business operations
Maintain the register of hardware, software and staff passwords
Liaise with professional connections, external IT consultants and suppliers
Assist the Financial Planner with travel arrangements, restaurant bookings, etc
Help identify operational issues, resolving them as effectively as possible
Answer, screen and forward incoming calls
Open, scan, log and allocate incoming post
Other administrative tasks as required
Comply with relevant compliance, T&C, data protection & financial crime procedures/requirements
Skills required
Must be able make a good cup of tea when it’s your round!
Our full-time office manager is Quincy, a cocker spaniel, is in charge of security and office morale, so a love of dogs is essential!
Sense of humour and ability not to take themselves too seriously
Not afraid to ask for help
Enthusiastic, self-motivated, reliable and collaborative
Confident telephone manner, not afraid to pick up the phone
Passionate about client service and operations
Strong team player who works well alongside others but also able to work under their own initiative
Highly organised with good time management skills
Excellent attention to detail
Excellent knowledge of Microsoft Outlook, Excel, Word, SharePoint and Teams
Curiosity and willingness to explore different ways of working
An openness to flexibility within the role
Experience
Experience of working in an office-based role
Experience as a personal assistant, administrator or client-facing role
Experience as a coordinator in a business environment
Please note this is open to people in other industries based within easy traveling distance but would not suit potential applicants who are looking to progress to a financial planner.

Comprehensive benefit package including:
Salary - £25,000 to £28,000 pro rata (plus a meaningful discretionary Xmas bonus)
Initially 25 hours, with the expectation this will increase in time
Flexible working hours including 1 day work from home
Holiday – 25 days (pro rata) plus bank holidays, increasing to 30 after 2 years
7% employer pension contributions
